Danish Agency for Higher Education and Science are processing your personal data in relation to your nomination and possible reception of the Elite Research Prize

You are receiving this letter because we are processing your personal information in relation to your place of employment have nominated you to an Elite Research Prize. The nomination is now being processed by Danish Agency for Higher Education and Science. Your place of employment will receive a notification concerning the nomination expectedly during November 2021. If you are to receive a Prize, you will be notified personally expectedly during November 2021.

If you receive an Elite Research Prize, Danish Agency for Higher Education and Science will also process your personal information in connection with the award ceremony.

The legal basis for the agency’s processing of your personal information can be found in the General Data Protection Regulation Article 6 (1) (e), about the processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the controller.

Information about processing of your personal information in relation to your nomination and possible reception of the Elite Research Prize

Danish Agency for Higher Education and Science are processing your personal information in relation to the processing of your nomination to the Elite Research Prize and possible reception hereof. Your personal information is being processed according to the General Data Protection Regulation and the Danish Act on Data Protection. 3. Purpose and legal basis

The agency is processing your personal information with the following purpose:

  • To decide, whether you should receive an Elite Research Prize.

If you are to receive an Elite Research Prize, the agency will process your personal information with the following purposes:

  • Preparation of researcher portraits of the prize recipients with contact information, background information, a picture, a short film and a text about the prize recipient and its research. The portrait will be used to honor the prize recipient as well as to mention the recipients of the Elite Research Prize and for the press work in connection to the ceremony. The portrait will also be printed in a program booklet, which will be handed out at the award ceremony and on the website www.ufm.dk/EliteForsk.

The legal basis for the agency’s processing of your nomination can be found in the General Data Protection Regulation Article 6 (1) (e) and § 19.46.02.12 in the Danish Finance Act.

4. Categories of personal information

The agency's handles the following categories of personal information about you in relation to the processing of the nomination:

  • Name, e-mail address, position, place of employment, gender, date of birth, field of science, date of award of Ph.D. and whether you previously have been nominated to an Elite Research Prize. In case you will receive an Elite Research Prize or if stated in your resume, we will process information about your CPR number (confidential information).

We will process the following personal information about you, if you receive an Elite Research Prize:

  • Name, position/education, age, place of birth and current municipality of residence, subject area, institution and contact information.
  • Portrait picture
  • Group photo and other press photos from the ceremony
  • Portrait text
  • Portrait movie

5. Where does the personal information come from?

We have received your personal information from your place of employment in relation to your nomination for the Elite Research Prize.

If you receive an Elite Research Prize, you will have given your personal information to the agency yourself in relation to the different portrait forms.

6. Transfer of personal information

The agency transfers your personal information to the following recipients, if you are set to receive an Elite Research Prize in connection to the Elite Research Conference:

  • The Ministry of Higher Education and Science’s Department
  • The Ministry of Higher Education and Science’s profiles on social media
  • The Danish Royal House
  • Danish Security and Intelligence Service, because of The Danish Royal House’ participation in the conference

7. Filing of personal information

If you receive an Elite Research Prize, the agency will store your personal information on ufm.dk and the ministry's profiles on social media as long as there is interest.

Documents and personal data are filed in accordance with the rules in the Danish Access to Public Administration Files Act (Offentlighedsloven). Approximately every five years, the agency will pass the files on to the archiving authority, cf. the Archives Act. The agency keeps a copy of the personal information after the archiving of the files. After the expiry of the five-year-period at the latest, the agency will delete the data.

8. Your Rights

You have a number of rights in relation the agency's processing of your personal information. You should contact the agency, if you wish to make use of your rights. The agency can also give you more information about your rights.

When the agency processes your personal data, you have the right to access that data along with some additional information, including the purpose of our handling of your personal information.

B. The Right to Correction

You are entitled to correct your data, if it is incorrect. Furthermore, you are entitled to elaborate on or update the data, if that will make your personal data more complete.

C. The Right to Erasure

In special cases, you have the right to have information deleted about you before the time of the general deletion of the agency.

D. The Right to Limit the Processing

You may have the right to limit the agency’s processing of your personal data. In that case, the agency’s processing of your personal data requires your consent. However, the agency may still file your data, or process the data if the processing is necessary to establish, enforce or justify a legal claim, or to protect a person or vital public interests.

E. The Right to Object

You may have the right to object the processing of your personal data, even if the processing is legitimate.


F. The Right to Transmit Information (data portability)

In certain cases, you have the right to receive your personal information in a structured, commonly used and machine-readable format as well as having this personal information transferred from one data controller to another without obstacle.
